Attendance
Monitoring student attendance helps us work with you to overcome any difficulties that may be affecting your attendance and engagement with your studies. If you do not make satisfactory academic progress or you are absent without permission, you risk being withdrawn from your course. If you are a Student Route visa holder this will result in a report in your change of circumstances being made to the Home Office and they will take action to cancel (curtail) your immigration permission.
If you are having problems and don't know who to talk to, you can find help at Student Support Zone, or contact Kelly Greenwood, the Department's Wellbeing Officer. You can talk to Kelly about a whole range of non-academic issues such as settling into College life and independent living, relationships, friendships or family worries, mental health, physical health, loneliness, accommodation, financial difficulties or any issue that is having an impact on a student’s wellbeing and academic progress.
Register your attendance and absence
You'll need to scan your student ID card for lectures, classes and labs, and use the Attendance App for meetings with tutors and supervisors etc. Full details below for each group UG, MSc and PhD.

UG
Attendance is monitored through
a) meetings such as tutorials and project supervision - you log your attendance or absence in the attendance app. This is reviewed and verified by your tutor or project supervisor.
b) lectures, classes and laboratory sessions - by scanning your ID card on the card reader inside the room.
If you are absent for more than three days because of illness, or unable to attend classes for any other reason please let your tutor or Associate Senior Tutor (Dr Zahid Durrani)
If the absence is due to illness a medical certificate must be produced after seven days. If an examination is missed on account of illness a medical certificate must be produced immediately, please see the Examination Regulations.
If you are having a serious problem affecting your study, coursework or exams please let your tutor and the Associate Senior Tutor (Dr Zahid Durrani) know. If these problems are affecting examinations or coursework submission you should submit a mitigating circustances form.
1st year
- Scan into Level 1 lab

MSc
Our MSc courses are full-time 12-month courses. The only days you are not expected to attend are official College closure dates. You must continue attending campus over summer to work on your Individual Research Project. Remote project work is not permitted.
Attendance is monitored through
a) meetings such as tutorials and project supervision - you log your attendance or absence in the attendance app. This is reviewed and verified by your tutor or project supervisor.
b) lectures, classes and laboratory sessions - by scanning your ID card on the card reader inside the room.
If you wish to take holiday or will be absent from classes you must contact your course director for approval in writing. If the absence is due to illness a medical certificate must be produced after seven days. If an examination is missed on account of illness a medical certificate must be produced immediately, please see the Examination Regulations.
If you are having a serious problem affecting your study, coursework or exams please let your course director, course administrator or Dr Jaimoukha the Postgraduate Tutor know. If these problems are affecting examinations or coursework submission you should submit a Mitigating Circustances form.
Visa compliance & Registry will be informed of all student non-attendances as the College is obliged to report the non-attendance of students on Tier 4/Student Route visas to the Home Office.
Please note that:
- attendance at all timetabled events is compulsory and will be monitored.
- students who repeatedly fail to attend will be asked to withdraw from the course.
- all students are expected to arrive on time for events. We had a number of complaints in the past from both students and staff regarding students arriving late for timetabled events. This is not acceptable as is disruptive to both the lecturer and students already present. Students should be in the room before the lecture commences. Persistent late arrivals will be reported to both personal tutors and senior tutors as well as going on your record.
Registering attendance
- Scan: at least once a week register lecture attendance by scanning in on card readers in 305, 403a, 403b, 406, 407a, 407b, 408 or 509b
- Use the app to record when you see your personal tutor when your see your personal tutor (Oct, Jan, May)
- Use the app to record meetings with FYP supervisor, or project supervision meetings (from Jan-Aug)

PhD
Your attendance will be monitored via meetings with your supervisor - you log your attendance or absence in the attendance app. This is reviewed and verified by your PhD supervisor. You should have at least one meeting/catch-up a month with your supervisor. You must inform your Supervisor if you are absent from the College for more than three days during term. If the absence is due to illness you must produce a medical certificate after seven days.
You can discuss any problems you are having with your supervisor or Dr Jaimoukha, the Postgraduate Tutor.
Annual leave
Postgraduate Research studens do no have predetermined leave time and are entitled to a minimum of 30 days to a maximum of 40 days per year (including public holidays and College closure days) of annual leave (pro rata for part-time students) which Supervisors must authorise and keep record of. Therefore, you should be recording your annual leave via the attendance app by selecting other and entering dates you are on annual leave. Students taking agreed annual leave are not required to be engaged with the College and this will not have an impact on student visa. For details, see Research Degree Student Leave Policy.
What to do if your College ID card is replaced
If your College ID card is replaced at any point you will need to register it with the Department. If you do not do this, the attendance system will not record your attendance.
- Go to Stores on Level 1 of the Department
- ask for your card to be updated on the RFID user registration system
- This is a quick process and should not take more than a minute.
