Teaching space etiquette

When using teaching spaces for ad-hoc non-teaching acitivies, the following etiquette should be followed.

Note - Some meeting rooms are used for teaching.  Follow this etiquette if the room has been booked via CELCAT Room Booker or by following the process for booking departmental teaching space for ad hoc activities. 

Booking etiquette for ad-hoc bookings in teaching rooms

  1. Use CELCAT Room Booker for ad hoc, non-teaching bookings only.  Contact your department Timetabler for teaching bookings.  See contact details on the Central Timetabling website.
  2. Only book the required time for the meeting including any setup and re-set. 
  3. Cancel bookings that are no longer required, as soon as possible.
  4. Meetings will finish 10 minutes before the end of the room booking.
  5. Plan to finish the meeting with time to replace furniture to the default layout and tidy any catering.  Book extra time following the meeting if necessary.
  6. Choose a suitable room by checking the room information.  Some rooms are suitable for quiet meetings only which excludes Teams or Zoom calls.  Some rooms are not suitable for catering.
  7. If the room booking is not used or the room is left in an unsuitable state, you will be contacted.
  8. In the event of an apparent double booking, check the CELCAT calendar.
  9. Room bookers will inform room users that they are booked into a teaching room and must follow teaching room etiquette.
  10. If you need to book room setup or catering you should consider whether to contact Internal Events to make your room booking.
  11. If you require catering – check that the room is suitable for catering and make sure that the room users will be able to leave the room in a state for student use. 

 

Room use etiquette for ad hoc bookings in teaching rooms

  1. Meetings will finish 10 minutes before the end of the room booking.
  2. Plan to finish the meeting with time to replace furniture to the default layout and tidy any catering. Book extra time following the meeting if necessary.
  3. Catering - College Delivered catering: Please move plates/mugs etc to one area before leaving to make it easier for Catering staff to collect them. Externally sourced catering: Please remove all remains of external catering from the room before leaving. Clean and replace anything borrowed from local kitchens.
  4. The meeting host will take responsibility to ensure the room is left as they would wish to find it and in a suitable state for students.
  5. Keep noise levels to a minimum in consideration of people working and studying nearby, before, during and after the meeting.
  6. Please bring your own stationery and consumables (e.g. white board pens, flipchart paper) and take them with you when you leave.
  7. If you need help during the meeting use the contact details in the room or on the Central Timetabling website.
  8. Report all faults, whether they impact your meeting or not. Contact details are in the room and on the website
  9. In the event of an apparent double booking, check the CELCAT calendar.
